How to use Bookings in BookMe

Managing Bookings

The Bookings page is your central hub for every meeting scheduled through BookMe. Instead of checking each booking page separately, you can see all upcoming and past meetings in one place, filter them by calendar, folder, or team, and take action — like marking someone as a no-show — without digging through your calendar app.

How to review and manage bookings

  1. Go to BookMe > Bookings in your workspace.
  2. Use the Upcoming and Past tabs to switch between meetings that haven't happened yet and ones that already have. Past bookings load a page at a time, so use the pagination controls at the bottom to browse older meetings.
  3. Narrow the list using the filters at the top: filter by booking calendar (a specific booking page), folder (a group of calendars), or team to quickly find the meetings you care about.
  4. Click any booking row to open its details — attendee info, meeting time, location or video link, and notes.
  5. For group sessions, check the capacity badge (e.g., "3 of 8 booked") to see how full an occurrence is at a glance.
  6. Use the row's action menu (the "more" icon) to mark a booking as Attended or No-show once the meeting time has passed. The no-show window opens when the meeting ends and, if the calendar sends a thank-you email, closes once that thank-you delay elapses — so mark no-shows within that window.
  7. If you need to cancel a meeting, open it and use the cancel action; cancelled bookings are flagged with a status badge so your team can see they're no longer active.

In practice

Alex, an IT helpdesk lead, lets staff self-book support sessions through a shared BookMe calendar. Each morning, Alex opens the Bookings page, filters by the "IT Helpdesk" calendar, and scans the Upcoming tab to see who's booked in. After a session, if the employee didn't show up, Alex marks it as a no-show so the helpdesk team can follow up and free up the time slot's history for reporting.

Priya, a customer success manager, filters Bookings by her "Onboarding Calls" folder to review all demo and onboarding sessions scheduled for the week, confirming each new customer's call details before it happens.

Tips

  • Filter by team when multiple people share booking calendars — it's the fastest way to see just your group's meetings.
  • Mark no-shows promptly; it keeps your attendance data accurate for reporting and follow-ups.
  • Use folders to organize calendars by purpose (e.g., "Support," "Onboarding") so filtering stays fast as your booking pages grow.
