Assets keeps track of the equipment your organization owns and who's using it right now. Here's how two very different roles put it to work.

IT asset manager at a mid-size company

You're accountable for every laptop, monitor, and dock across three offices, and "who has that machine?" should never be a guessing game.

  1. Record each device in Assets with its serial, model, and purchase date, so every piece of hardware has a single source of truth.
  2. Use Check Out / In to assign a laptop to an employee and log the hand-off, so the current holder is always known.
  3. Tag each asset with its Locations — an office, a floor, a storeroom — so you can reconcile what's where during an audit.
  4. Pull Reports to see what's deployed, what's idle, and what's overdue for return before the next refresh cycle.

Tip: Check gear back in the moment it's returned, not at quarter-end — a current ledger is what makes an audit painless.

Operations coordinator at a co-working space

You lend shared equipment to members and can't let a projector walk off or a warranty lapse unnoticed.

  1. List every loanable item in Assets, from projectors to hotspots, so members can see what's available.
  2. Track each loan with Check Out / In, capturing who took what and when it's due back.
  3. Store vendor warranties and service agreements as Contracts against each asset, so a renewal or repair claim is one click away when something breaks.

Tip: Sort your Contracts by end date to catch the warranties nearing expiry, so you renew or replace them before coverage runs out.
